Fleet services · for operators & lessors

The quiet engineering
behind fleets that
actually run on data.

The brief

Fleet platforms excel at features. They struggle at the last mile of customization.

What we keep hearing on the first call:
"The platform does 92% of what we need. The other 8% is buried in client-specific billing, three telematics feeds, a fuel-card reconciliation, and a dashboard the CFO of our biggest customer actually uses."

That last mile is where Thoughtline lives. Per-client billing customizations, nightly data feeds in seventeen formats, telematics onboarding nobody else wants to touch, custom dashboards for the two enterprise accounts who refuse to look at the standard reports.

We're not selling you a new fleet platform. We're keeping the one you already have profitable to operate — quarter after quarter, customer after customer, across the long tail of changes that don't make it into anyone's roadmap.

For lessors and fleet platforms, that means more renewals. For corporate operators, it means the data finally arrives in a shape your finance team trusts.

Capabilities

Four practices, built on eighteen years
inside fleet platforms.

01 — Platform engineering

We maintain the fleet platform you operate on.

Long-running engineering for fleet management and leasing platforms — the billing engine that runs on the 5th, the nightly ingestion that has to absorb twenty seven client data formats without a human watching, the customization queue that grows every time a new account onboards. The systems you can't afford to mishandle on a Tuesday.

  • Billing engines & per-client invoicing rules
  • Nightly batch ingestion in any format your customer sends
  • Customization & configuration framework support
  • Vehicle, driver, cost-centre master data
  • Reliable on-call for the windows that matter
02 — Telematics & vehicle data

Telematic/OEM feeds, and the long tail of onboarding.

OEM telematics now ships in around 80% of new vehicles — and every one of those feeds comes with its own contract, identity model, and edge case. We merge customer hierarchies with vendor data, normalize OEM telematics alongside it, and build the data pipelines that aggregate before they land on your platform.

  • OEM telematics ingestion — Ford, GM, Stellantis, Volvo, others
  • Cloud-side aggregation before on-premise hand-off
  • Driver behaviour, trip logging, harsh-event analytics
  • Video telematics integration & privacy controls
03 — Custom client dashboards

For the customers who refuse the standard view.

Your largest accounts — a global energy major, a pharma group, a Fortune 100 distributor — each want to see fleet from a different angle, with their own KPIs, their own roll-ups, and data pulled from three telematics providers nobody else uses. We've been building these dashboards for a decade. They're how the renewals get signed.

  • Multi-source dashboards on top of your existing platform
  • Custom roll-ups, hierarchies, & cost models per client
  • Embedded analytics & export pipelines
  • Real-time vehicle & driver views for ops centres
04 — Intelligence & sustainability

The work most fleet platforms are about to start.

Predictive maintenance from telematics + maintenance history. AI fraud detection that catches the driver fuelling a personal car on a corporate card — the cases your rule-based system misses. The EV transition: home-charging reimbursement, charge-point reconciliation, scope-1 emissions for CSRD. The future of fleet, in advance.

  • Predictive maintenance models from telematics history
  • AI-driven fuel-card fraud & driver-risk scoring
  • Home-charging reimbursement & ChargePoint reconciliation
  • CSRD-aligned emissions reporting pipelines
  • EV transition planning & battery end-of-life tracking

Thoughtline · fleet engineering layer

The work between the platform
and the customer.

Customization, ingestion, reconciliation, dashboarding, and the on-call that keeps the billing run finishing on time. The work that earns the renewal, even when no slide ever shows it.

Ingestion
Nightly batches in any format, with reconciliation & replay.
Billing
Per-client rules, audited, idempotent, finishes before sunrise.
Customization
Dashboards, hierarchies, KPIs — per account, without forking the platform.

How we work

Four phases. Each one is useful
even if you stop after it.

Most of our engagements last years. They all started with one phase that earned the next. If the next one doesn't make sense, you keep what's already shipped and walk — we'll still answer the phone.

Phase 01 · 2–3 wks

Landscape audit

Two senior engineers and a designer alongside your platform, ops & finance leads. We map the platform, customizations queue, telematics & data feeds, billing rules, and the customer dashboards you can't standardize.

Leaves behind ▸ Systems map · risk register · costed roadmap
Phase 02 · 6–10 wks

First win, shipped

One real piece of work in production — a stuck billing customization, a Geotab onboarding for one account, the dashboard your biggest customer keeps asking for. Proves the layer, the team, and the cadence.

Leaves behind ▸ Live integration or dashboard · runbook · go/no-go for scale-up
Phase 03 · 3–6 mo

Embedded pod

A named, senior pod plugged into your sprint cadence. The customization queue starts moving. Telematics ingestion broadens to OEM and EV. Predictive maintenance & fraud models come online. Customer dashboards productize.

Leaves behind ▸ Healthy backlog · production intelligence models · enterprise dashboards
Phase 04 · multi-year

Run & evolve

The phase most agencies disappear during. We stay on retainer — the billing run that has to finish before sunrise, the new client onboarding next month, the OEM API that's about to change again. The number that doesn't ring out.

Leaves behind ▸ A platform that's still profitable to operate in year five

Frequently asked

The questions that come up
on the first call.

Are you a fleet platform we'd buy, or something else?
Something else. We're an engineering studio that has worked inside fleet management platforms — leasing, telematics, billing, dashboards — for eighteen years. We don't sell licences. We make the platform you already run profitable to operate, and the customer roll-outs land on time.
Do you work with corporate fleet operators, or with the platforms that serve them?
Both. Bulk of the practice is engineering for fleet management and leasing platforms — the back-office, the customizations, the customer-specific dashboards. The remaining is direct engagements with corporate fleet operators.
What about AI? Where does it actually pay off today?
A few places we've implemented practical solutions with AI: translating and consolidating multilingual data from multinational fleets, automating invoice handling, predictive maintenance from telematics + workshop history, driver-risk scoring from harsh-event data. We're skeptical of AI as a feature; we like it as a layer on top of work the rule-based system.
How do you handle the EV transition?
Pragmatically. The hard problems aren't the vehicles — they're home-charging reimbursement, ChargePoint reconciliation, solar offsets at driver homes, and battery end-of-life tracking. We build the integrations and the pipelines that make all of that finance-reportable, including CSRD scope-1 emissions.
How do you price?
Fixed-fee discovery and first win. Capped engineering pod for the scale-up. A predictable monthly retainer for run & evolve. No per-vehicle licensing on our layer — we are not selling software you'll lease back from us.
Who actually does the work?
A named, senior team. Same people from discovery into year five. You'll meet them on the second call, and you'll have their direct lines by week three of the engagement.

Tell us where the friction is — a stuck billing customization, a Geotab onboarding that's been parked, a dashboard your biggest customer keeps asking for, or just the next five years of fleet you're trying to plan for. We'll tell you honestly whether we're the right team, what it would take, and roughly what it would cost. If we're not the right team, we'll point you to someone who is.
